Introduction
The Localization Library is a shared library of titles, terms, and formality decisions shared with different teams internally, as well as linguists, project managers, and territory managers.
The Creative Scripting team is responsible for inserting and up-keeping information in the Localization Library (LocLib) for all languages. This entails adding, linking, and updating titles and terms across different languages or locales.
LocLib update requests are usually sent through the Localization Library shared inbox, but this process will change soon with a formal announcement sent to the relevant teams.

Accessing the LocLib Inbox
To find the new LocLib requests and access the share folder, follow these steps:

Go to the Localization Library shared inbox in Outlook:

LL Pulse Emails: These are automated notifications received from the metabase emails, and they are procedural alerts sent from the Localization Libray to alert us to certain terms that have been updated, added, approved, etc. These emails do not require any work, even when they have attachments. They simply need to be moved to the LL Pulse Emails folder.

Scope Linking:
- In LocLib terms, a "Scope" is a umbrella or container under which all titles relevant to a franchise or part of the same universe or project are connected. When titles are placed in the same Scope, the identical terms with identical categories from the different titles are synced, which helps linguists across different languages and locales. More details on this to follow later in this article.
- Simple Import: A straightforward import of English terms or main titles alongside their translations (if available) into the LocLib. The received formats are either .xls, PDF, or .docx. For languages with distinct scripture, please request an .xls from your project manager.
- Complex Import: A multi-layered import involving key names and phrases as well as formality tables, both or each often requiring pre-upload editing.
- iTunes Menu Transmap Requests: These are simple requests to upload iTunes Menu Transmap terms into one or multiple locales in the LocLib. For this type of request, the accuracy of the category isn't as necessary as for other titles. Terms can be added under "Menu" or "Synopsis".
- Miscellaneous: Any import type not covered by the categories above.

How to Manage the LocLib Requests: Formality Table
Formality Report: File Prep
To complete a formality upload request, follow these steps:
- Go to the Localization Library Inbpx
- Find the attached file with the naming convention “Formality and KNPs”
- Upon opening the excel file, you will find a couple of tabs down the sheet:
For most of the titles, especially Korean ones, the received formality table doesn't meet all the requirements for LocLib uploads, so you must create a new one using our internal template by following these steps:
- Copy the formality table information and paste it into the standard template found here: Formality Table Template
- Empty any cells that have entries such as "Not Yet Known, "Unknown" or "No Interactions", etc.
- Add genders to speaker IDs. You'll need to reference the provided KNPs if available or use other extenal resources such as IMDB.
- Use the format F/I to indicate Fomal-Informal speech. Other variations like FI or F;I are not supported and can prevent your upload.
- Check for any extra spaces around the formality decisions in your file before uploading to the Localization Library as this can also prevent upload, and the Localization Library doesn't clarify the type of error here.

You can find trailing spaces by using Conditional Formatting and following these steps:
1. Select Your Entire Table
2. Click Home > Conditional Formatting > New Rule
3. Choose "Use a formula to determine which cells to format"
4. Enter this formula (assuming your table starts at C8, which is usually the case): =LEN(C8)<>LEN(TRIM(C8))
5. Click Format, pick a fill color, then click OK.

Formality Report: LocLib Upload
When your document is all cleaned up and ready for upload, please follow these steps to import the FT into the Localization Library:

To upload, go to the Localization Library and search for the title you're uploading to

Go to the Character Formality tab

Select which season and episode you're uploading to

When you click on the Toolbox list, the below two options will appear. Select Import CE Formality. You can select your file and upload it.
How to Handle the LocLib Requests: Terms and Translations
As mentioned earlier, the Localization Library is a shared repertiore languages and locales and is often accessed by multiple users, which is why term and translatio uploads are also common.
The level of complexity of each request depends on a number of factors: the template used, how many languages we're updating, the scope of work, and the information requested.
Simple English imports don't usually require heavy editing, but these requests are not as common as main title translation or multiple-language upload requests.
The first step is for your to download the attachment and the email thoroughly to determine the scope of work:
Sample 1: Simple English Import
Just by looking at the email, this seems to be an English Simple Import to upload key terms and the character list to the LocLib. The only editing required here is to transfer the data over from the PDF files into the Localization Library Import template. To do this, follow the below steps:
- Copy the terms and characters
- Paste them into the English (US) Term column on the import template

Select the correct Category from the below list (for this request, it will be one of Character, Place/Location, or Key Term/Phrase):
- Cast
- Character
- Credits
- Crew
- External Character
- External Title
- Key Term/Phrase
- Menus
- Misc
- Narrative

- Change the Approval Status to "Approved"
- If required, add any relevant notes and tags.
- When necessary, link any characters through the AKAs column
- Hit "Save"
Now your file is done and ready for upload!
Sample 2: Main Title Translations
As this email suggests, this is a request to upload multiple Main Title (MT) translations to the LocLib, so you will need to use the Complex Import template that has multiple language columns: Complex Import Template.
To complete a Main Title Translations request, follow these steps:
- Use the English MT Translation as the basis of your work
- Update the category to Title - Main
- Prepare the language columns by adding as many new columns as required (marked in red above)
- Copy the MT translations into the language columns
- Change the Approval Status to "Approved" on the English (US) column as well as other language columns
- Where relevant, add the note "Client Provided" or "Client Approved" in the Notes columns.
- Hit Save
And voila! Your file is now ready for upload.
Sample 3: Term Translations
As this email suggests, this is a list of KNPs and their translations. Please see below:
You'll notice Czech translations added and multiple categories selected under "Term Type"
The process for this request is the same as the previous one, and you'll also need to use the Complex Import Template:
- Use the English terms as the basis of your work
- Update the category as required for each term
- Prepare the language columns by adding as many new columns as required
- Copy the translations into the language columns
- Change the Approval Status to "Approved" on the English (US) column as well as other language columns
- If required, add any relevant notes and tags
- When necessary, link any characters through the AKAs column
Note: Another way to handle requests with multiple language translations is to follow these steps:
- Go to the project page in the LocLib

In the Select Language bar add the required languages

Go to Toolbox > Export > Selected Languages
- Clean up your export (if necessary) then copy the translations from the input file into the corresponding language columns on your export
- Change the Approval Status to "Approved" on the English (US) column as well as other language columns
- If required, add any relevant notes and tags
- When necessary, link any characters through the AKAs column
Sample 4: iTunes Menu Transmap Requests
The iTunes Transmap requests come in different formats, but the workflow is standard. iTunes Transmap requests can come in either English only or have translations attached. Please note the difference between these two input templates:
As you'll see in Template 1, only English terms are added, as opposed to Template 2 where French translations are also available and need to be added to the Localization Library. For this type of request, the accuracy of the category isn't as necessary as it is for other projects. Terms can be added under "Menu" or "Synopsis". If your file has a synopsis, you can add it under the corresponding category, but everything else can be tagged under "Menu".
To complete an iTunes Menu Transmap request, follow these steps:
- Determine which import template to use depending on the number of languages present in the input file. If it only has English, use the Simple Import Template. If it has multiple languages, use the Complex Import Template.
- Use the English terms as the basis of your work
- Update the category column with any category type (usually Menus, Synopsis, or Misc)
- Prepare the language columns by adding as many new columns as required (if at all)
- Copy the translations into the language columns
- Add the tag "iTunes Transmap" in the Tags column so it's clear to the LocLib users these terms are iTunes terms
- Change the Approval Status to "Approved" on the English (US) column as well as other language columns (if applicable)
- Hit Save.
Uploading to the Localization Library
After you have prepared your document for upload, follow these steps to actually import the terms into the LocLib:

Localization Library - Scopes
What is a Scope?
- In terms of LocLibrary, a Scope is merely an umbrella (or container) under which all titles relevant to a franchise or project are connected.
- When titles are placed in the same Scope, the identical terms with identical categories from the titles are synced. This means that the approved translations for one title can be shared with other titles in the same Scope.
How to check if a title is linked to a Scope?
- The easiest way to confirm if a title is already linked to a Scope is by going to the specific title’s glossary in LocLibrary and using the Toolbox menu to Show Synced Terms.
If no information appears, then the title is not part of a Scope.
Creating a Scope
After an email request has been received to Create a Scope or link titles and it has been confirmed that the requested titles are not currently attached to an existing Scope, go to the Scopes tab in LocLibrary.
In the Scope Search field, type in the title to confirm once more that a Scope does not already exist.
When this is confirmed, click the Add New Project button.
The following form will appear.
Under Project Name, enter the name of the Scope.
Under Linked Scope (s), select the requested titles.
Under User(s), add your email address, the Creative managers, seniors, and leads.
After all information is added, the form should appear something like this:
Click Save.
The Scope is now created.
Synced Terms
To ensure that terms are syncing properly within a Scope, the main title must be added to each of the titles within the Scope.
Enter the title using the Add New Term function as is standard.
When the term’s Approval Status is changed to “Approved,” a Confirm Sync pop-up will appear.
Check the Project box and click Sync.
The added title or term is now synced with the glossary of the other title or titles within the Scope.
What if a title is already part of a Scope?
- If a title is already attached to a Scope, and the request is to Create a Scope and not Add to a Scope, you must remove the title from its existing Scope and create a new Scope with the requested titles.
- This often occurs with large franchises like Marvel or Star Wars. The feature or series will be attached to a franchise scope and then an order is received for a VAM piece.
- A request will be received to Create a Scope with only the feature and the VAM piece for that specific feature.
- Post-release, Creative will receive a request to empty the Scope and add the titles to the franchise scope.
What to remember about Scopes?
- Each title can only be attached to one Scope at a time.
- Creating a Scope only connects the titles on the backend.
- Scopes themselves do not host any terms or translations.
- The translations are stored under each title, and you can check which terms are set to sync and which ones are being shared within each project title in LocLibrary.
- Unapproved OV terms cannot be set to sync, and unapproved translations will not be shared.
- A Scope is not automatically created by LocLibrary when a project is initially entered into the system.
- The Creative team must receive an email request from the Project Manager requesting one of the two following actions:
- Link titles together aka Create a Scope
- Link a title to an existing Scope aka Add to a Scope
- Scopes cannot be deleted after they are created, but they can be emptied. This leaves the umbrella (or container) with no titles attached.

If not, check IMDB. If this is a pre-release project with little to no information on IMDB, flag to the project manager or linguist. |

While this is a rare request as most of the titles we work on require English locales, if requested by Client Ops and approved by your lead, you can change the Title Locale by going to Toolbox > Change Template Locale > select the new locale: |
| I received a formality upload request, and the formality table is a combined one for multiple episodes. How do I reflect this in the LocLib? Can I upload at a season level? | You unfortunately cannot upload to a season or a series level. You can only upload to episodes, even though the data eventually aggregates up to be viewed at a season or series level. What you can do is to either upload to the latest episode, or upload the same table to multiple episodes. |
| The Client Ops team uses "LL" to refer to the LocLib. Can I alert them this actually refers to the Localization List and ask that they use LocLib instead? | Yes, please. Only use the abbreviated LocLib to refer to the Localization Library as LL is reserved for the Disney Localization List indeed. |
